Who we are
This policy explains how Briana Williams trading as The Digital Marketing Fairies (ABN 91 960 841 339), including Profit Purpose Play and Bree's education programs, collects, uses, stores and shares your personal information. In this policy, "we", "us" and "our" refer to that business.
We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). This policy applies to our website, webinars, courses, coaching programs, email list, social media and any other way you interact with us.
By using our website or services, you agree to your information being handled as described in this policy.
What we collect and how
We only collect personal information that we need to run our business and deliver our services. This may include:
- Contact details: name, email, phone number, business name, address and timezone.
- Business information: your website and social profiles, offers, pricing, revenue figures, marketing results, ad account performance, customer insights and goals you share with us.
- Program information: onboarding forms, self-audits, strategy documents, homework, content you submit for feedback, weekly numbers trackers and messages in Slack.
- Call recordings and notes: video, audio and transcripts of coaching calls, webinars and strategy sessions, and notes we take about you and your business.
- Payment information: billing details and transaction history. Card details are processed securely by our payment provider and are not stored by us.
- Website and marketing data: your IP address, device, browser, pages visited and how you interact with our ads and emails, collected through cookies and pixels.
We collect this information directly from you (through forms, calls, emails, Slack and purchases), automatically through our website and ad platforms, and occasionally from public sources such as your website or social media.
If you share information about your own customers with us (for example, in ad reports or screenshots), please remove or blur their personal details first. You are responsible for having the right to share that information.
You can interact with us without identifying yourself where that is practical, such as browsing our website. We cannot deliver coaching or programs anonymously.
Why we use it
We use your personal information to:
- deliver our programs, coaching calls, feedback and course content;
- build and update your marketing strategy and track your progress;
- process payments and manage your account;
- send you information you have signed up for, including webinars, resources and offers;
- run and measure advertising on platforms such as Meta and Google;
- improve our website, programs and content; and
- meet our legal, tax and accounting obligations.
We will not use your information for a purpose you would not reasonably expect without your consent, unless the law allows or requires it. We do not sell your personal information.
AI tools and call recordings
We use artificial intelligence (AI) tools to help us deliver a better, faster service. A real person (Bree or a member of our team) always reviews AI output before it is used, and we stay responsible for the advice we give you.
How we use AI. We may use AI tools, such as Claude by Anthropic and Notion AI, to:
- transcribe and summarise call recordings;
- organise client notes, onboarding forms and self-audits;
- draft strategy documents, feedback, content ideas and reports for our review;
- analyse marketing and ads performance data you share with us; and
- support our own marketing and admin.
Information used. This may include your name, business details, call recordings and transcripts, form responses, marketing data and messages you send us.
Decisions. We do not use AI or other computer programs to make decisions about you that significantly affect your rights or interests, such as whether you can join a program. Those decisions are made by a person.
Protections. We choose AI providers that offer business-grade privacy protections and, where available, settings that stop our data being used to train their models. We avoid entering payment details, identity documents or sensitive information into AI tools.
Call recordings. We record coaching calls, strategy sessions and group calls so members can rewatch them and so we can prepare accurate strategies and notes. We will tell you before a call is recorded. Group call recordings are shared with other members of that program. If you don't want a call recorded or processed with AI, let us know before the call and we will take manual notes instead.
Opting out. You can ask us not to process your information using AI tools at any time by emailing bree@themarketingfairies.com. This may mean some parts of our service take longer to deliver.
Marketing, cookies and pixels
Email marketing. If you sign up for a webinar, masterclass, freebie or our email list, we will send you emails about our content and offers. Every email includes an unsubscribe link, in line with the Spam Act 2003 (Cth).
Cookies and pixels. Our website uses cookies and tracking tools, including the Meta Pixel and Google Analytics or Google Ads tags. These help us understand how people use our site, measure our ads and show relevant ads to people who have visited our site or engaged with our content. These platforms may combine this data with information they already hold about you, in line with their own privacy policies.
You can control cookies through your browser settings and manage ad preferences in your Meta and Google account settings. Blocking cookies may affect how parts of our website work.
Who we share it with
We share personal information only with people and providers who help us run our business, and only as much as they need. We use trusted third-party providers for:
| Purpose | Examples of providers |
|---|---|
| Email marketing and forms | Kit (ConvertKit) |
| Payments and accounting | Stripe, Xero |
| Calls and recordings | Zoom, Google Meet, Loom |
| Documents, course hosting and storage | Google Workspace, Notion, Netlify |
| Community | Slack |
| AI tools | Anthropic (Claude), Notion AI |
| Advertising and analytics | Meta, Google |
We may also share information with our team members, contractors, accountant or legal advisers, and where required by law.
Overseas storage. Many of these providers store or process data outside Australia, mainly in the United States and other countries where they operate. We take reasonable steps to choose providers with strong security and privacy practices. By using our services, you consent to your information being handled overseas.
Storage and security
We store personal information in secure, password-protected cloud systems and use two-factor authentication where available. Access is limited to people who need it to do their work.
We keep your information for as long as we need it to deliver our services and meet legal requirements (including keeping financial records for 5 years for tax purposes). Call recordings are kept for 12 months after your program ends unless you ask us to delete them sooner. When information is no longer needed, we delete or de-identify it.
If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required under the Notifiable Data Breaches scheme.
Your rights, complaints and contact
You can ask to access, correct or delete the personal information we hold about you, or opt out of AI processing or marketing, by emailing us. We will respond within 30 days. We may need to verify your identity first, and in some cases the law may require us to keep certain records.
If you have a concern about how we have handled your information, please contact us first so we can try to resolve it. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
